Import Coordinator

Position Summary

The Import / Export Coordinator is responsible for managing and executing international freight movements on behalf of clients, ensuring compliance with all applicable regulations while delivering timely, cost-effective logistics solutions. This role serves as a critical liaison between customers, carriers, customs brokers, overseas agents, and internal operations teams within a fast-paced third-party logistics (3PL) environment.

Key Responsibilities

International Shipment Coordination

  • Coordinate end-to-end import and export shipments via ocean, air, and ground transportation.
  • Arrange bookings with carriers, forwarders, and overseas agents.
  • Monitor shipment progress and proactively manage exceptions, delays, or service disruptions.
  • Ensure timely pickup, transit, customs clearance, and final delivery.

Documentation & Compliance

  • Prepare, review, and process international shipping documentation, including but not limited to:
    • Commercial invoices
    • Packing lists
    • Bills of lading / airway bills
    • Certificates of origin
    • Import/export declarations
  • Ensure compliance with U.S. Customs, CBP, FDA, USDA, and other applicable government agencies.
  • Maintain compliance with Incoterms, HTS classification, and country-specific trade regulations.

Customs & Brokerage Coordination

  • Work closely with customs brokers to ensure accurate and timely customs clearance.
  • Provide required documentation and resolve clearance issues, holds, or examinations.
  • Support post-entry audits, corrections, and recordkeeping requirements.

Customer Service & Communication

  • Serve as the primary point of contact for assigned customers.
  • Provide shipment status updates, transit times, and issue resolution.
  • Respond promptly to customer inquiries regarding documentation, charges, and delivery timelines.
  • Maintain strong client relationships through proactive communication and service excellence.

Billing & Financial Accuracy

  • Review carrier invoices for accuracy and compliance with contracted rates.
  • Ensure timely and accurate billing to customers.
  • Identify and escalate discrepancies related to freight charges, accessorials, or detention/demurrage.

Data Management & Reporting

  • Enter and maintain accurate shipment data within Transportation Management Systems (TMS) and internal platforms.
  • Track KPIs such as transit time, cost, service failures, and compliance metrics.
  • Assist with reporting and continuous process improvement initiatives.
Qualifications
  • 25 years of experience in international logistics, freight forwarding, or a 3PL environment.
  • Working knowledge of import/export procedures and international trade documentation.
  • Familiarity with ocean and air freight operations.
  • Strong understanding of Incoterms and global shipping practices.
  • Proficiency in Microsoft Office (Excel, Outlook, Word).
  • Excellent organizational skills with the ability to manage multiple shipments simultaneously.

Preferred

  • Experience working with U.S. Customs and Border Protection (CBP) regulations.
  • Knowledge of HTS classification and customs compliance.
  • Experience using a Transportation Management System (TMS).
